Job Summary:
Job Duties:
The Manager of Business Support Services (BSS) supervises all printing, mailing, shipping/receiving, purchasing, and archival services for the organization. The manager of BSS oversees a team of employees to accomplish said functions in a timely, efficient and financially responsible manner. Responsibility for day-to-day operations is delegated to key departmental staff. The manager prepares the department’s annual goals and budget proposal, tracks/monitors expenses and prepares regular charge-back reports for accounting purposes. The manager negotiates contracts and purchases, maintains relationships with equipment purchasing/maintenance, and outsourcing vendors. He must keep current with changing technologies and how they affect large mail and production services environments. The Manager of BSS makes sure the department runs efficiently and meets departmental and organizational objectives.

•Oversee the department’s overall planning activities, developing specific and measurable department goals that support and advance the company’s mission.
•Support other departments to accomplish the company’s mission.
•Establish department priorities, prepare and monitor the department budget, provide overall direction for staff activities, and strong leadership.
•Use department resources effectively to achieve departmental and organizational objectives.
•Recruit and train staff. Enhance the professional and career development of department staff through effective training, coaching, and regular performance evaluations and developing promotion opportunities.
•Oversee all mailing services: department mailings, thank you letters, pick-ups, and deliveries.
•Oversee all printing services: white paper printing, mail merging, envelope printing, document insertions, special bindings, etc.
•Oversee company bookstore order fulfillments, on-site and off-site inventories of publications.
•Oversee shipping and receiving services: USPS, UPS, FedEx, DHL, couriers.
•Manage relationships with outside vendors – UBM, Pitney Bowes, various office supply vendors, off-site archives, etc.
•Complete and submit regular charge-back reports and monthly expense reports.
•Manage on-site and off-site inventories and keep just-in-time inventory for envelopes, letterhead, etc.
•Understand all functions, responsibilities, and equipment in BSS.
Special Skills/Requirements:
•BA/BS or equivalent plus CMM, CMDSM or other comparable credentials
•10 years of experience working in an operations role; experience managing a program or project; proven management ability
•Key management skills including strategic planning and goal setting, budgeting, staffing, performance counseling, mentoring, and career planning are required.
•Strong written and verbal communication skills and strong customer service skills required.
•Windows, Microsoft Office, and Internet Skills needed
